A few quick reminders for those traveling to Japan for the IF Asia Portfolio Gathering 2026:

• Visa & Passport– Please make sure your passport is valid and you meet the visa requirements for Japan.

• Accommodation – Please arrange your own accommodation in Tokyo and Karuizawa. Recommendations are available on the event site.

• Day 1 Lunch (Oct 8) – For those not joining the Kirin Brewery Tour, please come directly to LATTE GRAPHIC Azabudai for lunch at 12:30. Kirin tour participants will receive separate details.

• Day 1 LP & Portfolio Gathering at Incubate Fund Tokyo Office (Oct 8) Doors open 13:30 | Sessions 14:00–17:30 | Networking Cocktail 17:30–19:30

• Day 2 Karuizawa (Oct 9) – Please book your Shinkansen in advance and plan to arrive at **Karuizawa Prince Hotel West between 12:00–13:00**. From Karuizawa Station South Exit, it is a 10–15 min walk / 5 min taxi ride.

  Optional after-drinks at **Bar The Base (19:30–21:30)** near Karuizawa Station.

• Day 3 Komoro Distillery Tour (Oct 10) – We expect to return to the hotel by 14:00, so we recommend booking your return train from Karuizawa after 15:00.

• Weather – Tokyo is generally mild in October, at around 15–22°C, though there may be some rain. Karuizawa will be much colder, around 9–18°C, especially in the morning and evening, please bring a warm jacket or coat. </aside>

The Portfolio Gathering is an annual off-site event among Incubate Fund India/Asia portfolio founders to build a strong relationship, learn each other, and have fun together!

Logistics

Day 1 (Thursday, October 8)

• For those registered for the Kirin Brewery Yokohama Factory Tour, please meet at the Azabudai Hills Garden Tower B, 1st floor lobby (where Incubate Fund Tokyo Office is located) at 8:50 AM. Details will be shared separately with registered participants. After the tour, the bus will take you to the lunch place directly.
• Lunch (12:45–13:45) will be arranged at Latte Graphic Azabudai, located near the IF office. If you are joining us from lunch, please come directly to the lunch venue.
• The LP, Investor & Portfolio Gathering will begin at 14:00, followed by a Networking Cocktail from 17:30–19:30.. Please refer to the conference detailed agenda below

Day 2 (Friday, October 9)

• Day 2 will be held at Karuizawa Prince Hotel West.
• Participants are requested to travel to Karuizawa by Shinkansen on their own.
• Doors open at 12:00, with lunch available from 12:00–13:00.
• The Portfolio Gathering Sessions will run from 13:00–17:00, followed by a Networking Cocktail & Dinner from 17:00–19:00.
• Optional Drinks are planned from 19:30–21:30 at Bar the Base Karuizawa
• Please arrange your own accommodation in Karuizawa unless otherwise communicated by the IF team.
